Privacy Policy

1. Introduction

This Privacy Policy explains how PT. Jasindo Duta Segara ("Jasindo", "we", "us", or "our") collects, uses, shares, secures, and retains information when you use the JIMS mobile application ("JIMS", the "App") on Android and iOS. JIMS is a crew self-service app for seafarers engaged by Jasindo. It lets you manage your profile, upload and track certificates and documents, complete questionnaires, and view assignment, joining, and finance information related to your employment.

The App is intended for registered Jasindo crew members only. By creating an account and using the App, you agree to the practices described in this policy. If you do not agree, please do not use the App.

2. Information we collect

We only collect information needed to operate the App and manage your crewing employment. Depending on how you use the App, this may include:

• Account & identity data: full name, email address, phone number, employee/crew identifier, rank, and login credentials.
• Personal & family details: date and place of birth, nationality, gender, marital status, address, and next-of-kin / family member details you provide.
• Sensitive maritime documents: passport, seaman's book, competency and STCW certificates, visas, and similar records, including document images and the numbers and expiry dates extracted from them.
• Health & medical data: medical fitness certificates and related medical status information required for sea service. This is sensitive personal data and is handled with additional care.
• Employment & sea-service data: sea-service history, vessel assignments, joining progress, questionnaires (e.g. pre-joining, debriefing, quarterly monitoring), and pre-embarkation forms.
• Finance data: payslip, loan, and home-allotment information related to your engagement, shown to you for reference.
• Photos & files you upload: images captured with your camera or chosen from your gallery or file storage for the purpose of submitting documents.
• Device & diagnostic data: app version, device model and operating system, and crash/error reports used to keep the App stable and secure.

We do not collect your precise device location. Prayer times shown in the App are calculated from a fixed default city and do not read your GPS.

3. Device permissions we request

The App asks for the following device permissions. Each is used only for the stated purpose, and you can decline or later revoke them in your device settings (some features will then be unavailable):

• Camera — to photograph documents you choose to upload.
• Photos / media / files — to let you select existing documents or images to upload.
• Notifications — to send you app notifications about your account, documents, and assignments.
• Biometrics (fingerprint / face) — optional, used only on your device to unlock the App. Biometric data never leaves your device and is never sent to us.

4. How we use your information

We use the information above to:

• Create and manage your crew account and authenticate your logins.
• Store your profile, certificates, and documents, and read key fields (such as document numbers and expiry dates) to help keep your records complete and up to date.
• Assess and manage your suitability and readiness for vessel assignments, and comply with flag-state, principal, and regulatory requirements.
• Process questionnaires, joining, and pre-embarkation workflows.
• Show you relevant employment, finance, assignment, and joining information.
• Send you service notifications and respond to your requests.
• Maintain the security, integrity, and reliability of the App, and prevent fraud or abuse.

We do not sell your personal data, and we do not use it for advertising.

5. How your information is shared

We share your information only as needed to run the service and manage your employment:

• Shipping principals: with the specific principal considering or engaging you, we share the profile information and certificates necessary for recruitment, deployment, and compliance.
• Service providers (data processors) acting on our instructions, including: secure cloud storage for documents; an AI document-processing service used to read text from the document images you upload; error-monitoring to detect crashes; and push-notification delivery. These providers may process data only to provide their service to us and are bound by confidentiality and data-protection obligations.
• Legal and regulatory bodies: where required by law, regulation, flag-state authority, or valid legal process.

We do not share your personal data with third parties for their own marketing purposes.

6. Data security

We use appropriate technical and organisational measures to protect your data. Traffic between the App and our servers is encrypted in transit using TLS/HTTPS. Login tokens are held in your device's secure, encrypted storage. Access to crew records is restricted to authorised Jasindo staff on a least-privilege basis. No method of transmission or storage is completely secure, but we work to protect your information and to promptly address any issues.

7. Data retention

We keep your personal data for as long as your account is active and for as long as needed to manage your engagement and to meet legal, flag-state, principal, tax, and record-keeping obligations. When data is no longer required, we delete or anonymise it. See the next section for how to request deletion.

8. Account & data deletion

You may request deletion of your JIMS account and associated personal data at any time. The easiest way is to complete the online form at /delete-account. Alternatively, email privacy@jasindods.co.id from the email address linked to your account, with the subject line "Delete my JIMS data". We will verify your identity and process your request in line with applicable law.

Please note that certain records (for example, sea-service history and documents we are legally or contractually required to retain for employment, immigration, flag-state, or tax purposes) may be retained for a limited period after account deletion, and will then be deleted or anonymised. We will confirm once your request has been completed.

9. Children

JIMS is a professional tool for registered adult seafarers and is not directed to children. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us so we can remove it.

10. International data transfers

Jasindo operates from Indonesia and works with international principals and service providers. Your information may therefore be processed in countries other than your own. Where this happens, we take steps to ensure your data continues to be protected consistently with this policy and applicable law.

11. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may withdraw consent where processing is based on consent. To exercise these rights, contact us at privacy@jasindods.co.id. We will respond in line with applicable data-protection standards.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you in the App. Your continued use of the App after an update means you accept the revised policy.
